What I’d start with
One location, one booking system and a small set of service-matching rules.

SALONS & BARBERS
For an independent salon or barber juggling appointments between customers. Make it easier to act on a cancellation while there’s still time to fill the slot.

THE PROBLEM
Someone asked for a morning appointment last week. Another customer wanted that particular stylist. You know there might be a fit, but finding the right message takes time you don’t have between appointments.
THE SOLUTION
I’d connect cancellation updates to a simple waiting list of customers who asked to be contacted. The workflow would match service length, stylist and availability, then prepare a shortlist.
Your booking system reports a change; the workflow checks that a booking was cancelled.
Check the free slot against requested service, duration, stylist and available times.
Show eligible customers and a suggested message to offer the slot.
Contact one customer at a time and recheck the diary before confirming.
WHEN SOMETHING NEEDS CHECKINGNo suitable match, or the slot has already gone?
Flag the gap for the team or close the suggestion. Never send an offer based on an old diary entry.
WHAT YOU GET
Instead of searching through last week’s messages, the receptionist gets a clear prompt with the conditions already checked.
Fictional example. This helps the team respond; it does not guarantee the appointment will be filled.
INTEGRATIONS & HOSTING
| Tool | Its part in the workflow |
|---|---|
| Square Appointments | Provides booking updates and cancellations. I’d check the permissions and subscription needed to read your team’s bookings. |
| Microsoft Lists | Stores the waiting-list request, service, preferred stylist and availability. |
| Outlook | Sends the team the shortlist and suggested wording. The customer offer stays with your team. |
For a Square-based salon, I’d use Square booking notifications and a small JavaScript service to match the slot. I’d check your booking software’s existing waiting-list features first.
The custom connection could run on Azure Functions in an agreed region. Square keeps the booking record; the waiting list stays in your Microsoft 365 account. Hosting and service charges would be agreed upfront.
A SENSIBLE FIRST PROJECT
One location, one booking system and a small set of service-matching rules.
Track how quickly cancellations reach the team and how much searching is needed to find a suitable customer.
Only customers who asked to join the list are considered. Duplicate updates are ignored; availability is rechecked before booking.
Tell me how it works today. If we agree a suitable first automation, I’ll build it for free and give you 30 days to try it. We agree the ongoing monthly price and any software costs before starting.
